Reservation Terms
1. General
These Terms and Conditions apply to all venue rentals, events, meetings, celebrations, accommodation, sauna bookings, transportation services, activity programs and other services provided by Mataskär Oy (“Matasaari”).
Matasaari is a privately owned island destination. The booking party is responsible for ensuring that all guests, participants, contractors and suppliers comply with these Terms and any instructions provided by Matasaari staff.
The booking party must be at least 18 years of age and legally capable of entering into binding agreements.
Making a reservation, accepting a quotation or making a payment constitutes acceptance of these Terms and Conditions.
2. Reservations and Payment
A reservation becomes binding once it has been confirmed in writing by Matasaari.
Unless otherwise agreed, the reservation is considered finally confirmed only after payment has been received by the due date.
Unless otherwise agreed:
The full booking amount must be paid before the event.
Separate invoicing arrangements may be agreed with corporate clients.
Matasaari reserves the right to verify the creditworthiness of corporate customers and may require advance payment, a security deposit or other payment guarantees.
Late payments are subject to statutory interest and collection costs.
3. Pricing
All prices include VAT unless otherwise stated.
A cleaning fee of €160 will be added to each booking. This covers standard end-of-event cleaning.
Only services specifically confirmed in writing are included in the booking price.
4. Additional Services
Available additional services may include:
Drop hot tub
Towels
Boat transportation
Catering services
Activities and experiences
Meeting and event equipment
Additional services are charged according to the applicable price list or separate quotation.
5. Number of Participants
The final number of participants must be confirmed no later than seven (7) days before the event.
The booking party is responsible for ensuring that the agreed number of guests is not exceeded.
Maximum occupancy limits and safety regulations must always be observed.
6. Use of the Facilities
The facilities will be made available during the agreed rental period.
The booking party must return the facilities in the agreed condition and at the agreed time.
The booking party is responsible for ensuring that:
the facilities are used with care;
buildings, equipment and furnishings are handled appropriately;
safety instructions are followed; and
the island, its environment and neighboring areas are respected.
7. Noise and Event End Time
Matasaari is located within a sensitive archipelago and natural environment.
Outdoor music must end no later than 10:00 PM.
Transportation from the island should be arranged so that guests have departed by 11:00 PM unless otherwise agreed in writing.
Matasaari reserves the right to limit sound levels or interrupt activities causing disturbance.
8. Sauna, Hot Tub, Swimming and Piers
The use of saunas, hot tubs, piers, docks and swimming areas is entirely at the user’s own risk.
The booking party is responsible for ensuring that all participants use these facilities safely.
Matasaari accepts no liability for accidents resulting from, including but not limited to:
slippery surfaces;
swimming;
diving or jumping into the sea;
use of the sauna or hot tub;
use of piers and waterfront areas; or
individual health conditions.
Children must be supervised at all times.
9. Boat Transportation and Weather Conditions
Boat transportation services are provided subject to weather and safety conditions.
The boat operator has the final authority to determine whether transportation can be carried out safely.
Weather conditions do not generally entitle the customer to compensation, refunds or cancellation without charge.
For safety reasons, Matasaari reserves the right to modify, restrict or suspend activities due to storms, strong winds, thunderstorms, exceptional water conditions or other circumstances affecting safety.
10. Alcohol, Intoxicants and Conduct
The booking party is responsible for ensuring compliance with all applicable laws and regulations.
The use, possession or distribution of illegal drugs on the property is strictly prohibited.
Matasaari reserves the right to immediately terminate an event if alcohol consumption, disorderly conduct, violence, illegal activity or any other behavior poses a safety risk or causes significant disturbance.
In such cases, no refunds or compensation will be provided.
11. Damages and Additional Cleaning
The booking party is responsible for all damages caused by:
the booking party;
guests;
participants;
suppliers; or
subcontractors.
The standard cleaning fee covers normal end-of-event cleaning only.
Additional charges may apply for:
excessive cleaning;
special textile cleaning;
smoking-related odor removal;
extraordinary cleaning of sauna or hot tub facilities;
unusual waste disposal requirements;
repair of damages.
The minimum charge for additional cleaning is €100.
12. Emergency Call-Outs, Alarm Responses and Additional Services
Should the actions of the booking party, guests, suppliers or contractors require additional services beyond the agreed booking scope, the booking party shall be responsible for all resulting costs.
This may include:
maintenance services;
security services;
cleaning services;
transportation services;
technical support;
electrical, plumbing or IT services;
emergency call-outs; or
specialist services.
Services performed outside normal business hours may be subject to emergency or on-call rates, which may be substantially higher than standard working-hour rates.
The booking party shall be responsible for all actual costs incurred, including travel time, waiting time, labor, materials and third-party service provider charges.
13. Cancellation Policy
All cancellations and modifications must be made in writing.
More than 30 Days Before the Event
A cancellation fee of 50% of the total booking value applies.
Alternatively, the booking may be transferred to another available date upon payment of a transfer fee equal to 25% of the booking value.
Less than 30 Days Before the Event
A cancellation fee of 100% of the booking value applies.
Rescheduled Bookings
If the new date is subject to higher pricing, the customer shall pay the difference.
14. Right to Refuse Entry
Matasaari reserves the right to refuse entry to, or remove from the property, any person whose conduct:
compromises safety;
causes disturbance;
damages property;
violates applicable laws; or
breaches these Terms and Conditions.
Such removal shall not entitle the customer to any refund, compensation or price reduction.
15. Force Majeure
Matasaari shall not be liable for failure to perform its obligations due to circumstances beyond its reasonable control.
Force majeure events include, but are not limited to:
storms and extreme weather;
natural disasters;
government restrictions;
power outages;
telecommunications failures;
labor disputes;
epidemics or pandemics;
cyberattacks; and
other extraordinary circumstances beyond Matasaari’s control.
16. Limitation of Liability
To the maximum extent permitted by law, Matasaari’s total liability shall be limited to the amount paid by the customer for the relevant booking.
Matasaari shall not be liable for indirect or consequential losses, including:
loss of business;
loss of profit;
reputational damage;
travel expenses;
accommodation expenses; or
third-party claims.
17. Indemnification
The booking party agrees to indemnify and hold harmless Matasaari against all damages, losses, penalties, fines, environmental liabilities, legal fees, expert fees, emergency service costs, cleaning costs and other expenses arising directly or indirectly from the actions or omissions of the booking party, guests, suppliers, subcontractors or event participants.
This obligation shall survive the completion of the event.
18. Lost Property
Lost property will be retained for up to 7 days.
Any shipping, handling or administrative costs associated with returning lost items will be charged to the recipient.
19. Governing Law and Jurisdiction
These Terms and Conditions shall be governed by and construed in accordance with the laws of Finland.
Any dispute shall first be resolved through good-faith negotiations.
If no resolution can be reached, disputes shall be submitted to the District Court of Western Uusimaa, Finland.
20. Entire Agreement
The quotation, booking confirmation, any separate event agreement and these Terms and Conditions together constitute the entire agreement between the parties.
No verbal discussions, promotional materials, website content or other communications shall override or amend these Terms unless expressly agreed in writing.
